How quickly can we get started?

Quickly. Usually you can post your first tasks within a few days, and we have even managed it on the same day. All we need is to sign the contract together and assign a suitable lead designer.

Can you work in our PM tools (Jira, Teams etc.)?

Yes, our team leads adapt to your processes. That's what sets us apart from classic agencies.

Can everyone involved get access to the design board?

We don't do things by halves. Everyone who needs access gets access. Your whole team is welcome!

How fast can you deliver?

Fast. If there are no open questions, we start working within a few hours. Simple tasks or small adjustments, e.g. after feedback, are often done right away. You can also set a (usually internal) deadline, which makes planning easier for us too.

How much lead time do you need for a task?

Smaller tasks can often be done the same day. For larger tasks, such as preparing a display ad campaign or producing a video, we recommend planning 1-2 weeks so there is enough time for concept work and alignment with you.

Can you work together with our designers?

Yes, many clients extend their design team with our help, either to flexibly cover peaks or to add missing skills.

Do we get the source files?

Absolutely! Whether designs are created in InDesign, Illustrator, Figma or other tools, we always share the source files. You can use them as templates or adapt them to your heart's content.

Is the number of review rounds limited?

We keep iterating until everything is perfect and you are completely satisfied. If you want to discuss certain aspects in person, you can set up a video call with the lead designer at short notice at any time.

Can tasks be estimated upfront?

If you like, we can always estimate larger tasks upfront and get your green light before we start. For smaller or urgent tasks, experience shows that results are better when we collaborate in an agile way based on trust.

I have special requirements, what can you cover?

We have many designers with very different skills, so we can cover a very broad range of creative services. Just ask us, and together we'll always find a solution!

How do you make sure you always stay on-brand?

Besides the wiki section of your design board, where you can store your brand guidelines, you are assigned a lead designer who supports you long-term. Even when other designers handle subtasks, the lead designer personally accepts every request and checks the quality of the results. That way the team quickly gets the hang of it and knows what matters to you and what to watch out for.

How do you make sure certain concepts are followed across multiple tasks (e.g. preparing large events)?

This is where our lead designer acts as the guardian of the concept. They personally oversee all your tasks and can also coordinate larger projects. That keeps continuity and consistency intact, however complex the project.

How is quality controlled and maintained over time?

Usually the lead designer who supports you long-term handles the tasks personally at the start. If your volume grows, they bring in more designers from their virtual team over time and distribute the work. Still, they accept every task personally and check the quality at the end before the results are sent to you. By the way, we also have projects where the lead designer handles quality control for the client's in-house designers. We call that an upgrade!

How does billing work?

We keep it simple: we bill by the hour. Every time results are uploaded to a task, the lead designer updates the hours spent so far. That gives you a complete overview of per-task and total costs at any time. At the end of the month you receive one invoice from us. No hidden fees, you only pay for what is actually spent.

We also offer discounts for booking certain hour packages.

Is there a minimum commitment?

Quality matters to us, which is why our approach doesn't work for small one-off tasks. We are most effective when you can give us a certain volume of tasks on an annual average. The limit is individual and flexible, so let's talk about it. As a rough rule of thumb: if we don't reach 20 hours per month, we're probably not the perfect match.

How are unplanned costs avoided?

We rely on transparency and clear agreements. In your design board you always have a day-by-day overview of the costs incurred since the last invoice. On top of that we can agree on rules, for example introducing an additional "go" if a task is expected to exceed a certain number of hours or person-days. We make sure you always have your costs under control.
